POSITION DESCRIPTION – Duties and Responsibilities
- Assists in the preparation and processing of recruitment, selection, and placement documents in accordance with the Omnibus Rules on Appointment and Other Human Resource Actions;
- Inputs, updates, and maintains records in the agency’s Human Resource Information System (HRIS) and other databases, ensuring that all records are accurate, up-to-date, and easily accessible;
- Converts physical records into digital formats through scanning and ensure the proper tagging and storage of these digital files in the agency's records management system such as but not limited to 201 files and other HR-related documents;
- Acts as secretariat during interviews and deliberations, ensuring all necessary documents and logistics are in place;
- Assists in the processing of Contract of Service (COS) and On-the-Job Trainees (OJT) applications and/or renewal;
- Assists in the orientation of newly hired permanent employee/s, Contract of Service (COS) and On-the-Job (OJT) Trainees;
- Assists in conducting background investigations for qualified candidates;
- Assist in complying with the Program to Institutionalize Meritocracy and Excellence in Human Resource Management (PRIME-HRM);
- Drafts communication / memoranda / office circulars / replies to various queries that involve interpretation of rules and regulations regarding recruitment (e.g. Memoranda relative to the endorsement of applications, notice of interview);
- Maintains records, reports, and other pertinent documents in hard and electronic copies;
- Conducts inventory of records and assists in the preparation of the Section’s Records Disposition Schedule (RDS);
- Provides necessary data for the implementation of the new Human Resource Information System (HRIS) and assists in checking the features of the HRIS vis-a-vis the approved Terms of Reference;
- Monitors and manages the recruitment email account, responding to inquiries, acknowledging receipt of applications, and ensuring timely communication with candidates and stakeholders. This includes organizing and categorizing incoming emails for efficient follow-up and record-keeping;
- Assists personnel in charge of Learning and Development (L&D), Performance Management, and Records Management as needed; and
- Performs other duties and responsibilities as may be assigned by the immediate supervisor to support the overall HR function.
