Education: Completion of two (2) years studies in college
Experience: One year of relevant experience, preferably with experience in ISO 9001:2015
Training Four (4) hours of relevant training
Eligibility Preferably with CS Eligibility, but not required

POSITION DESCRIPTION – Duties and Responsibilities

  • Assists in the systematic organization, filing, and retrieval of physical and digital records to ensure accurate and efficient record-keeping in compliance with Republic Act No. 9470;
  • Inputs, updates, and maintains records in the agency’s Human Resource Information System (HRIS) and other databases, ensuring that all records are accurate, up-to-date, and easily accessible;
  • Converts physical records into digital formats through scanning and ensures the proper tagging and storage of these digital files in the agency's records management system;
  • Assists in preparing and implementing records disposition schedules, including the proper archiving of records that need to be preserved and the secure disposal of obsolete documents;
  • Facilitates the timely retrieval and distribution of records requested by various departments or personnel, ensuring prompt service while adhering to record retention policies;
  • Provides administrative support to the Records Officer in managing the day-to-day operations of the records unit, including coordinating with other sections or departments on records related matters;
  • Assists in preparing reports on records management activities, compliance with RA 9470, and other related laws or regulations, including Freedom of Information and ISO 9001:2015 requirements;
  • Helps in conducting training sessions or orientations for staff on records management practices, policies, and the use of records management systems to promote best practices within the agency;
  • Assists the personnel in charge of Recruitment, Selection, and Placement (RSP), Performance Management, and Learning and Development; and
  • Performs other duties and responsibilities as may be assigned by the immediate supervisor.
